At Clean Report, we respect your privacy and are committed to protecting the operational data, turnover records, and photos entrusted to us.

1. Overview & Philosophy

Clean Report LLC ("Clean Report," "we," "our," or "us") provides an operational turnover reporting system for short-term rental owners, property managers, and cleaners. Our goal is to provide clear, calm, and trustworthy verification that a property is ready for incoming guests.

We collect only the information necessary to provide and support our service. We do not sell your personal data or turnover records to third parties or advertisers.

2. Information We Collect

We collect information in the following ways:

  • Account Information (Owners & Hosts): When you sign in via Google OAuth or create an account, we collect your name, email address, profile picture URL, and associated account identifier.
  • Property & Turnover Data: Property names, addresses, room checklists, restock counts, custom questions, turnover notes, and cleaner names associated with each turnover.
  • Turnover Photos & Media: Photos taken and submitted by cleaners as proof of clean and readiness documentation during turnover visits.
  • Cleaner Access (No Account Required): Cleaners access turnover forms via secure tokenized magic links. We record the name provided and the timestamp of submission. Cleaners do not create passwords or maintain accounts.
  • Technical & Log Data: When you access our application, standard server logs record your IP address, browser type, device characteristics, operating system, and request timestamps to maintain security and diagnose operational issues.

3. How We Use Information

We use the information we collect to:

  • Generate and deliver timestamped Clean Reports and guest-readiness confirmations to property owners.
  • Enable cleaners to view turnover checklists, complete questions, and upload turnover proof photos quickly without login friction.
  • Process, optimize, and generate web-friendly thumbnails of turnover photos (including orientation correction and EXIF metadata stripping).
  • Maintain audit logs and historical proof of property readiness for dispute resolution, turnover verification, and quality assurance.
  • Communicate important account notifications, security alerts, and system updates.
  • Maintain, secure, and improve the Clean Report application.

4. Photo Retention and Storage Policy

Turnover proof photos are retained and accessible on your account for 180 days following report submission.

  • During the 180-day active retention period, photos are immediately viewable within the Clean Report web application.
  • After 180 days, turnover photos are archived. Reports remain accessible with metadata intact, and archived photos may be retrieved upon request at no cost — restored photos remain visible for 7 days before returning to archive.
  • We never use your turnover photos for marketing, promotional purposes, or third-party training without your explicit written consent.

5. Information Sharing and Disclosure

We do not sell, rent, or trade your personal information. We only share data in the following limited circumstances:

  • Between Property Owners and Cleaners: Turnover checklists, cleaner names, and report submissions are shared between the authorized property owner and the cleaner utilizing the specific property link.
  • Service Providers: We work with trusted infrastructure providers (e.g., cloud hosting, authentication providers like Google OAuth, transactional SMS providers) who process data on our behalf under strict confidentiality agreements.
  • Legal Compliance: We may disclose information if required by applicable law, regulation, subpoena, or lawful government request.

SMS & Text Messaging Privacy: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. Data Security & Integrity

We implement administrative, technical, and physical security measures to safeguard your information against unauthorized access, loss, or alteration. All communication with Clean Report is encrypted using Transport Layer Security (TLS/HTTPS). Reports are immutable once submitted to preserve historical integrity.

7. Your Rights & Choices

Depending on your jurisdiction, you have rights regarding your personal information, including:

  • Accessing and reviewing the data and reports associated with your properties.
  • Updating or correcting inaccurate property or profile information.
  • Requesting deletion of your account and associated properties.
  • Disconnecting third-party authentication permissions (e.g. Google OAuth) at any time via your provider settings.
  • Opting out of SMS notifications by replying STOP to any text message at any time.

8. Cookies & Similar Technologies

Clean Report does not use analytics, advertising, or tracking cookies, and we do not use tracking pixels or similar technologies to follow you across websites.

We use only technology needed to provide the service and remember choices you make:

  • Essential session cookies: These keep you securely signed in, support authentication, and protect the application. Disabling them may prevent account features from working.
  • Browser storage: On certain application pages, local or session storage remembers interface preferences and temporary choices, such as your preferred dashboard view or a cleaner's location-sharing choice. This information is not used for advertising or cross-site tracking.
  • Third-party services: If you choose to interact with services such as Google authentication or Stripe billing, those providers may use their own cookies under their respective privacy policies. Clean Report does not use those cookies to track you for advertising.

Because we do not use non-essential tracking cookies, there is no advertising or analytics cookie consent banner. You can control or remove cookies and browser storage through your browser settings, though blocking essential cookies may limit application functionality.
