Quick Answer#
Each property tracks the supplies that need restocking between guests. Depending on how an item is set up, it depletes automatically per turnover, per occupied night, or is tracked manually — giving an owner a running view of what's likely running low.
Why This Matters#
Running out of toilet paper or coffee mid-stay is a small thing that creates an outsized guest complaint. Tracking supplies at the property level, rather than trusting memory, makes it easier to catch a shortage before a guest does — and choosing the right depletion model keeps that forecast honest for how each item actually gets used.
How It Works#
When a property is set up, it starts with a default list of common supplies (things like toilet paper and dish soap), which an owner can adjust to match what the property actually needs. Every item is assigned one of three usage types:
- Per turnover — a fixed quantity is deducted whenever the property is cleaned, regardless of how many nights the stay lasted. Good for items replaced every clean, like a welcome coffee packet.
- Per occupied night — a quantity is deducted for every night the property was occupied since the last turnover, not just once per clean. This suits consumables guests use continuously, like toilet paper or dish soap, and keeps a five-night stay from depleting supplies the same amount as a one-night stay.
- Manual — the item's quantity isn't depleted automatically at all. Best for irregular items like batteries or lightbulbs, where an owner updates the count by hand as needed.
During a turnover, the cleaner reviews and restocks these items as part of the Quick Checklist step. When the report is submitted, per-turnover and per-occupied-night items are deducted from the property's tracked inventory automatically. Individual restock items can also be linked to a specific room, so a cleaner sees what to check and replenish while working through that room instead of hunting through one long list — see Room & Checklist Templates.
Step-by-Step (Owner Setup & Editing)#
- Open the property's Restocking Inventory tab.
- Review the items and their current inventory levels.
- Click any item (or the Edit action) to open the interactive edit modal. Here you can configure the item name, category, initial stock count, minimum alert threshold, and depletion amounts.
- For each item, set its usage type — Per Turnover, Per Occupied Night, or Manual — and the quantity depleted.
- Add any property-specific supplies that aren't in the default list.
- Optionally, link items to a room from the Rooms & Checklists tab so they show up alongside that room's checklist.
Frequently Asked Questions#
Do I have to track inventory to use Clean Report? No — restocking inventory is a convenience feature; a property's checklist and Clean Reports work the same with or without it configured in detail.
Does the cleaner need to enter anything manually for depletion to happen? No — depletion happens automatically based on each item's usage type once the report is submitted. Manual items are the exception; their quantity only changes when an owner updates it.
Why did an item's remaining quantity drop by more than expected after one turnover? Check its usage type. A Per Occupied Night item deducts for every night since the last turnover, so a longer stay depletes it more than a one-night stay would.
Where can I see restocking status across all my properties at once? The Restock Forecast page shows every property's status in one place, based on upcoming bookings.
